Cancellation Policy: 4 Allowed Cancellations Per Year with 48 Business Hours Notice
Why This Policy Matters Your appointment time is reserved exclusively for you. Consistent attendance supports your therapeutic progress and ensures that I can offer timely care to all clients. This policy helps maintain fairness and respect for everyone’s time. By scheduling or attending sessions, you acknowledge and agree to follow this cancellation policy.
Definitions
Business Hours: "48 hours’ notice" refers to business hours. Weekends and holidays do not count toward the 48 business hour notice period.
Cancellation with Notice: Canceling a session with at least 48 business hours’ advance notice.
Late Cancellation: Canceling a session with less than 48 business hours’ notice.
No Show: Missing a session without providing notice.
Late Arrival: Arriving more than 5 minutes late. This is treated as a late cancellation.
Rescheduling: Only permitted for "Cancellations with Notice" and must occur within one month in addition to regular scheduled session, subject to availability.
Session Scheduling Sessions are scheduled once or twice weekly. I do not see clients on an every-other-week basis, as I practice from a depth-oriented, psychoanalytic, and relational framework which requires consistency and a frequency of at least once weekly sessions. Once we agree on a time, that slot is held for you unless you notify me via email, text, or voicemail to request a change. If you would like to see a therapist less frequently, please ask for a referral to another provider who practices from a different framework.
Cancellation Policy for Weekly Clients Clients attending weekly sessions are permitted up to four cancellations with at least 48 business hours’ notice per calendar year. After the fourth permitted cancellation with notice, any subsequent cancellations with notice, late cancellations, no-shows, or late arrivals—regardless of notice—will be charged the full session fee of $175. However, if all four permitted cancellations have been used and you provide appropriate notice, you may avoid the fee by scheduling and attending an additional session (beyond your regular weekly appointment) within one month of the cancelled session, subject to my availability.
Cancellation Policy for Twice-Weekly Clients Clients attending twice-weekly sessions are permitted up to six cancellations with at least 48 business hours’ notice per calendar year. After the sixth permitted cancellation with notice, any subsequent cancellations with notice, late cancellations, no-shows, or late arrivals—regardless of notice—will be charged the full session fee of $175. However, if all six permitted cancellations have been used and you provide appropriate notice, you may avoid the fee by scheduling and attending an additional session (beyond your regular scheduled appointments) within one month of the cancelled session, subject to my availability.
Weekend Cancellations Weekends do not count toward the 48 business hours’ required for cancellation notice. Example: To cancel a Tuesday 1:00pm appointment without being charged the full session fee of $175, you must notify me by Friday by 1:00pm sharp. Any notice past this time, for example 1:01pm is considered late and will result in a charge of the full session fee of $175.
Inclement Weather and Illness Telehealth sessions are available to avoid cancellation or no-show charges due to illness or inclement weather.
Therapist Emergencies, Holidays, and Vacation If I am unable to attend due to illness or emergency, you will not be charged. Telehealth may be offered if I am unable to meet in person. You will receive at least 7 days’ notice for planned vacations. I am out of the office for Spring Break each year in April and on major holidays. I typically take 2–3 weeks of vacation annually.
Rescheduling Rules:
With Proper Notice: Sessions canceled with at least 48 business hours' notice may be rescheduled within one month, as an additional session subject to availability.
Without Proper Notice: Sessions canceled with less than 48 business hours’ notice, no-shows, or late arrivals cannot be rescheduled to avoid the $175 fee.
Repeated/Frequent Cancellations and No Shows:
Persistent cancellations will be discussed during sessions to address any underlying issues affecting attendance. If a client cancels or reschedules more than one session within a three-month period, excluding pre-planned vacations, there will be an opportunity to initiate a discussion to reassess the treatment plan and explore potential barriers to consistent attendance.
In some cases, a decision may be made to refer a patient to another provider who sees clients’ at a different frequency 1-2x monthly
Other Important Information:
Medicaid and Medicare Clients: Clients using Oregon or Washington Medicaid will not be charged for missed sessions. However, after three late cancellations or no shows, you will be referred to another provider who can better serve your needs.
Insurance: Please note that insurance, HSA, and FSA cards cannot be used to pay for late cancellation or no-show fees. These fees are the sole responsibility of the client.
HSA/FSA: If you use an HSA/FSA card, a secondary credit card is required to be on file for late cancellations, late arrivals and no-shows.
Exceptions: Exceptions to this policy include genuine emergencies such as sudden car accident’s on the way to therapy, sudden death in the family requiring travel or a medical emergency necessitating immediate hospitalization.
How to Cancel: Cancellations or changes must be communicated via email, text, or voicemail. The time of cancellation is determined by when the message is received, not when it is sent. All messages are time stamped when received.
