Cancellation Policy: 4 Allowed Cancellations Per Year with 48 Hours Notice
Cancellation Policy
As stated above, frequency of psychotherapy visits include a minimum of once to twice weekly sessions. Consistency and rhythm are essential in therapeutic work, and cancellations are strongly discouraged as they disrupt this process. Below are the guidelines regarding cancellations and associated fees:
Ways to Avoid Fees:
Patients are allowed up to four cancellations per year with at least 48 hours' notice without incurring a fee.
After these four allowances are used, cancellations with proper 48-hour notice can be rescheduled within 30 days to avoid a cancellation fee.
Late Cancellations/No Shows: Cancellations made without 48 hours' notice and no shows will incur a fee of $175, charged to the credit card on file the evening of the late cancellation or no show. These cannot be rescheduled. If credit card on file is declined, sessions will be paused until the fee is paid.
Examples of Late Cancellations/No Shows:
Arriving 10 minutes late to a session is considered a no show.
For a session scheduled on Wednesday at 1:00pm, notification of cancellation must be received by Monday at 1:00pm to be considered timely. A call, text, or voicemail timestamped at 1:01pm on Monday is considered late.
Notifications given over the weekend do not count as 48 hours' notice. For instance, a Monday session at 9:30 AM requires cancellation by 9:30 AM on the preceding Wednesday. A Tuesday session at 12:00pm requires cancellation by 12:00pm on the preceding Friday.
Exceptions:
Exceptions to this policy include genuine emergencies such as sudden car accident’s on the way to therapy, sudden death in the family requiring travel or a medical emergency necessitating immediate hospitalization. If there is a history of frequent cancellations, in some cases pr
Repeated/Frequent Cancellations and No Shows:
Persistent cancellations will be discussed during sessions to address any underlying issues affecting attendance. If a patient cancels or reschedules more than one session within a three-month period, excluding pre-planned vacations, there will be an opportunity to initiate a discussion to reassess the treatment plan and explore potential barriers to consistent attendance.
In some cases, a decision may be made to refer a patient to another provider who sees patients’ at a different frequency 1-2x monthly.
Please Note:
Insurance does not cover fees for cancellations or no shows.
Health Savings Account (FSA/HSA) cards cannot be used to pay for late cancellation or no show fees.
Patients are responsible for these fees.
OHP Patients:
Patients using Oregon Health Plan (OHP) will not be charged for missed sessions. However, after three late cancellations or no shows, you will be referred to another provider who can better serve your needs.
